Certificates of Insurance for Trucking

Freight brokers, shippers, landlords and customers often request certificates of insurance before allowing a trucking company to operate under a contract. Efficient certificate handling starts with a policy that actually supports the requested limits and endorsements.

01

A certificate summarizes coverage; it does not create it

A COI summarizes policy information but does not replace the policy or automatically grant rights requested in a contract. Additional insured, waiver or special wording may require insurer-approved endorsements.

02

Send the full certificate request

Provide the certificate holder’s legal name and address, required limits, job or load reference, endorsement wording and deadline. Sending only a broker name often creates unnecessary back-and-forth.

03

Allow time for endorsement review

A certificate can only reflect coverage that exists. Requests for additional insured status, waiver of subrogation or other contract language may need underwriting or insurer approval before the certificate can be completed.

04

Keep recurring certificate requests organized

Fleets and owner-operators that work with multiple brokers or shippers should maintain a clear list of recurring holders, contract requirements and policy changes to reduce errors.

Certificate request

Information to provide

  • Named insured / policyholder name
  • Certificate holder name and complete address
  • Required liability, cargo or other limits
  • Additional insured or waiver wording, if requested
  • Contract, broker or load reference and deadline
Important distinction

A COI cannot override the policy

A certificate is evidence of policy information. It cannot add coverage, alter exclusions or guarantee a contractual right that the policy and approved endorsements do not provide.
