Use the insurer’s official reporting instructions first.
If there is an injury, roadway hazard, theft in progress or other emergency, contact emergency services before handling insurance administration. A website message to ClearSpan is not a substitute for the insurer’s claims-reporting channel or emergency assistance.
Prioritize safety and emergency response
Call emergency services when needed, protect people from further harm and follow law-enforcement instructions. Do not put drivers in danger to collect photos or evidence.
Document the event when it is safe
Collect photos, other-party information, witness details, location, time, police-report information and relevant shipment records. Drivers should avoid speculating about fault or promising payment.
Report through the policy’s official claims channel
Notify the insurer or designated claims administrator according to the policy instructions. Keep the claim number, adjuster contact details and requested documents together so follow-up is easier.
Preserve cargo and equipment records
For cargo or physical-damage losses, keep bills of lading, seals, temperature records, repair estimates, tow/storage invoices, delivery exceptions, invoices and photos when relevant.
Information that can help the adjuster
- Policy number and named insured
- Driver, tractor, trailer and unit numbers
- Date, time, location and police-report details
- Photos and witness information when safely available
- Tow, storage, repair and cargo documents
Situations that deserve prompt reporting
- Injuries or significant third-party damage
- Cargo theft, contamination or temperature loss
- Truck or trailer theft
- Serious towing or storage exposure
- Any event the policy requires to be reported promptly
Send the claim number and service question.
ClearSpan can help route a policy-service question, but claim decisions and settlement authority remain with the insurer or claims administrator.
